Phase 2: On-Site Logistics (Setting the Stage)
When you arrive, you are the director of the scene. The "White-Glove" approach means you don't just sit where you're told: you create an environment for success.
1. Find the Surface
Ask for a clear, flat surface. Kitchen tables are usually better than coffee tables. If you are in a hospital or assisted living facility, ensure the over-bed table is cleared and stable.
2. The Lighting Audit
If the room is dim, position yourself near a window or turn on overhead lights. You need to see every "i" that needs a dot and every "t" that needs a cross. If you can’t see the fine print, you can’t guarantee accuracy.
3. Signer Verification at the Table
When you are handed the ID, don’t just glance at it. Hold it. Check the expiration date, the signature, and the photo. In Florida, we are the front line against identity fraud. This is where your professionalism shines.
This is also the moment to confirm the signer appears aware, willing, and able to proceed, and that any required witnesses are physically present and properly positioned for the signing. This is the heart of the appointment. The White-Glove Signing Method is about guiding the client through the paperwork with calm professionalism while keeping your notarial process clean, organized, and compliant.
1. The Document Walkthrough
Briefly explain what each document is based on its title (e.g., "This is your Mortgage, it outlines the terms of your loan"). If they have specific questions about the legal implications, refer them back to their attorney or loan officer.
2. The "Silent Auditor" Approach
As the signer is signing, your eyes should be on the page.
- Are they signing their name exactly as it is printed?
- Are they using the correct date?
- Did they initial every spot required?
- Are there any blanks left unaddressed that need attention before notarization?
3. Administrative Notary Execution

If you are performing an online notarization, your checklist looks a little different, but the standard of excellence is the same.
- Platform Check: Ensure your internet connection is stable and your camera/mic are crisp.
- KBA & Credential Analysis: Monitor the signer as they go through Knowledge-Based Authentication. If they fail, know your platform’s protocol for a retry.
- Digital Seal Placement: Ensure your digital seal doesn't obscure any text. Just like a physical stamp, a digital one must be legible to be valid.
Phase 5: The Post-Signing Audit (The Final Sweep)
